For most corporate events, renting an LED screen is the right call. Buying pays off in only 3 specific cases: more than 15 similar events a year, a physical space for a permanent installation, or a continuous multi-city tour.
Below I go through the 6 variables that decide it, the real ROI calculation, the break-even point and what a complete Mobile Event LED rental package includes.
What renting an LED screen for events means
Renting an LED screen means a technical supplier (Mobile Event, for example) delivers the equipment, rigs it, operates it live and takes it down when the event ends. You pay a fee per day or per event. Storage, maintenance, technology upgrades and backup are not your problem. The supplier delivers the full package: LED cabinets, Novastar controllers, cabling, rigging, return transport, an operating crew with a dedicated engineer.
Renting is the standard model for anyone running fewer than 15 events a year: corporate conferences, galas, product launches, festivals, brand activations. You pay only when you use it. No maintenance, storage or upgrade costs.
What buying an LED screen means
Buying an LED screen means a major upfront investment (30,000 to 150,000 EUR for a standard corporate screen) plus full responsibility: transport, rigging, operation, maintenance, backup, technology upgrades, storage between uses. The model works only if you use the screen often (15+ events a year) or permanently (a fixed display space).
LED cabinets depreciate technologically.
After 5 to 7 years the technology is outdated and needs replacing. Refresh rate, brightness and IP rating keep improving. An LED screen bought in 2020 is technically behind in 2026.
The 6 variables that decide it
The choice between renting and buying comes down to 6 objective variables:
1. How often you use it. Under 15 events a year with LED: rent. Over 15 events with a similar configuration: run the buying numbers.
2. Budget. Under 30,000 EUR available upfront: renting only. Over 100,000 EUR of capital plus tolerance for a 5 to 7 year amortisation: buying is possible.
3. Physical space. No warehouse of your own (100 sqm minimum, climate controlled for temperature and humidity): do not buy. LED cabinets need specific storage conditions.
4. In-house technical expertise. No technical specialists on payroll (3 to 5 people: rigger, video engineer, calibration technician): do not buy. Operating LED takes specific skill.
5. How predictable your configurations are. If you use the same LED setup at every event, buying makes sense. If your configurations vary (indoor and outdoor, different pitch, different sizes), renting is more flexible.
6. Tolerance for technology risk. LED depreciates 20 to 30 percent a year. Whoever buys absorbs that depreciation. Whoever rents gets current technology every time, with no risk.
When renting is the better choice
Renting is the right call in 8 typical situations:
Under 15 LED events a year, the most common situation for corporate companies.
Varied configurations: indoor plus outdoor, different pitch, different sizes depending on the event. One purchased screen does not cover every scenario.
No storage space of your own, meaning no climate-controlled warehouse of 100+ sqm.
No technical crew on payroll, meaning no 3 to 5 specialists for rigging, operation and maintenance.
You want access to current technology without CapEx and without the risk of an outdated screen.
You want instant backup. If a cabinet dies during the event, the supplier has a spare on site. You do not order and wait.
You want cost predictability. OpEx per event, easy to budget, with no major maintenance surprises.
You want insurance included. Equipment and public liability covered by the supplier, not by you.
When buying is the better choice
Only 3 scenarios justify buying an LED screen:
Very high usage: 15+ events a year with a similar LED configuration. Example: a technical production agency with a steady portfolio.
Permanent installation: retail store, showroom, TV studio, entertainment venue or museum with a fixed screen installed long term (5+ years).
Continuous multi-city tour: a band, artist or festival with 30+ shows a year, the screen in constant use, and an in-house technical crew.
Even in these scenarios, the ROI calculation has to include every hidden cost: depreciation (5 to 7 years of useful life), the technical crew (3 to 5 salaries a year), the warehouse (rent plus climate control), insurance, maintenance (spare parts, repairs, software upgrades) and transport per event. Buying LED is rarely as profitable as it looks at first glance.
What renting and buying an LED screen cost
Rental per event day (order of magnitude, brief specific):
6x3.5 m P3.9 LED backdrop: 1,500 to 3,500 EUR a day (rigging and operation included).
8x4.5 m LED wall: 3,000 to 6,000 EUR a day.
Premium configuration with FLEXX Xtra cylinders (flexible LED screen): 5,000 to 15,000 EUR a day.
Buying, the upfront investment (equipment only, no operating costs):
6x3.5 m P3.9 LED backdrop: 25,000 to 45,000 EUR.
8x4.5 m LED wall: 40,000 to 80,000 EUR.
Premium system with flexible LED: 100,000 to 200,000 EUR.
Approximate break-even: a 25,000 EUR screen pays for itself at 15 to 18 events a year, if you count only the equivalent rental price. Add the full operating costs (crew, warehouse, maintenance, insurance, transport, technology depreciation) and real break-even lands at 22 to 28 events a year.
How to calculate ROI for an LED screen
A simplified formula for a 5-year comparison:
Total rental cost = events per year x average price per event x 5 years
Total purchase cost = upfront investment + (annual operating costs x 5 years) + replacement cost after 5 to 7 years
A concrete example for a 6x3.5 m Creative LED P3.9 backdrop:
Scenario A, 15 events a year. Renting: 15 events x 2,500 EUR average x 5 years = 187,500 EUR total. Buying: 35,000 EUR investment + 25,000 EUR a year in full operating costs x 5 years = 160,000 EUR total. Buying saves 27,500 EUR over 5 years, but demands 35,000 EUR upfront plus 25,000 EUR a year in OpEx plus the technology risk.
Scenario B, 8 events a year, the typical corporate situation. Renting: 8 events x 2,500 EUR x 5 years = 100,000 EUR total. Buying: 35,000 EUR + 125,000 EUR operating = 160,000 EUR total. Renting saves 60,000 EUR over 5 years, with zero CapEx and zero technology risk.
The practical rule: under 15 events a year, renting always wins. Over 20 events a year with a similar setup, buying can get interesting.
The hidden costs of buying an LED screen
Buying LED carries 8 costs organisers routinely leave out of the initial analysis:
Storage: 100+ sqm, climate controlled for temperature and humidity. Annual rent in Bucharest: 6,000 to 15,000 EUR.
Technical crew: 3 to 5 specialists minimum (rigger, video engineer, calibration, transport). Salaries and benefits: 60,000 to 100,000 EUR a year.
Transport: an owned truck (60,000+ EUR) or hire per event (1,000 to 3,000 EUR per event).
Maintenance: spare parts, calibration, repairs. 5 to 10 percent of the initial value a year.
Equipment and public liability insurance: 2 to 5 percent of value a year.
Technology upgrade: after 5 to 7 years the technology is outdated. Replacement cost is close to the original.
Accounting depreciation: 20 to 30 percent a year for technical equipment.
Opportunity cost: the capital invested produces nothing between uses.
