Hybrid event: complete technical production for on-site and online audiences
A hybrid event combines physical participants at the venue with participants who watch remotely via live streaming. The online audience sees the speakers, the slides, the Q&A moments and interacts through chat. The on-site audience attends the conference traditionally. Mobile Event delivers the complete technical production for both components: the physical room (audio, video, LED, lights, show control) plus the online broadcast (broadcast cameras, switcher, streaming encoder, platform distribution). All with a single team, with no coordination between different vendors.
What is a hybrid event?
A hybrid event is a format that combines participants physically present at a venue with participants who follow it remotely through a live broadcast. The online audience sees what happens on stage in real time and can interact with the speakers through digitally submitted questions.
The format became the standard after 2020 for:
-
B2B conferences with international or geographically distributed participants
-
Product launches with a simultaneous broadcast to clients, partners and the press
-
Corporate trainings with teams in several cities or countries
-
Corporate galas with VIP guests on site and an extended online audience
-
Premium webinars with speakers physically present in a studio
The difference from a simple livestream: at a hybrid event, the physical audience is part of the experience. The live camera captures their reactions, questions from the room are heard by the online audience, and the interaction moments are synced between the two groups. It is a balanced dual experience, well beyond a conference broadcast on the internet.
Mandatory technical components of a hybrid event
A working hybrid event requires double infrastructure. Mobile Event delivers all the components with its own team,
no subcontracting.
On-site production
(for the physical audience)
-
A main LED screen for speakers and slides (recommendation: P3.9, at least 6x3.5 m for 500+ participants)
-
A line array or point source audio system sized for the room
-
Stage lighting (moving heads, LED PARs, profile spots)
-
Stage podium + load-bearing staging
-
Wireless microphones for the speakers (recommendation: at least 4 units + 2 backups)
Broadcast production
(the online audience)
-
Broadcast cameras (at least 2: wide shot + speaker close-up)
-
A professional video switcher (Blackmagic ATEM, Tricaster or Roland V-60HD)
-
A streaming encoder (vMix, OBS Pro or Teradek hardware)
-
A dedicated lavalier for direct audio into the mix
-
A dedicated internet connection (at least 50 Mbps symmetric upload, 100 Mbps recommended with 4G/5G backup)
Dual mix audio integration
The on-site audio is calibrated for the room (compression for speech clarity, natural echo).
The streaming audio is calibrated separately for headphones and home speakers (a drier mix, no ambience).
Mobile Event operates two parallel mixers with a dedicated engineer for each.
How does an event work in a hybrid format?
The standard workflow for a conference with 500 on-site participants + 1,000 online

Preparation (4 weeks in advance)
defining the streaming platform (Zoom Webinar, Vimeo Premium, YouTube Live, Microsoft Teams Live Events), testing the internet connection at the venue, speaker rehearsal with the hybrid setup

On-site setup (day -1)
room equipment + hybrid studio setup (a fixed camera + a PTZ camera for speaker tracking)

Live event
a single control room managing both audiences simultaneously, automatic switching between cameras and slides, a dedicated monitor for the online Q&A moderator

Post-event
delivery of the edited recording (multi-camera cut), streaming analytics (peak concurrent viewers, average watch time)
The difference between a hybrid event and an event with streaming
The confusion is common. Here is the practical distinction:
For premium B2B events (launches, galas, international conferences) the hybrid format is the standard. Simple streaming remains suitable for internal webinars or trainings.
A possible Mobile Event package for a hybrid event
A possible dedicated hybrid inventory
-
2x Sony PXW-Z90 or Panasonic AG-CX350 broadcast cameras
-
A Blackmagic ATEM Mini Extreme ISO or Tricaster Mini switcher
-
A vMix Pro encoder on a dedicated station with redundancy
-
A dedicated 100 Mbps internet connection with 4G/5G backup
-
A DiGiCo S21 or Yamaha QL1 audio mixer with a split for the room + streaming
-
A dedicated streaming engineer plus a video director throughout the event
For events with over 1,000 online participants or with special requirements (multilingual, live subtitles, AR overlay), the configuration is extended individually.
