How much does it cost to rent an LED screen for an event in Romania?

In short: how much does it cost to rent an LED screen in Romania? It depends on the area in m², the pixel pitch, where the screen stands (indoor or outdoor), the shape, the number of days and what goes into the package: structure, transport, crew, video processing and power. Two offers for the same 6×3.5 m screen can differ a lot just because one includes installation, operator and backup, and the other lists them as "extras".


Why do suppliers write "price on request"?

A rented LED screen is a complete system: panels, video processor, cables, structure, power, and the people who install it, operate it and de-rig it at the end. The price per m² usually covers the panels only.

The rest is calculated from the venue, the schedule and the content that runs. That is why almost every supplier in Romania quotes after the brief.

In the UK and Germany, offers split clearly in two: dry hire (equipment only, you install it) and full package (equipment, transport, installation, operation). In Romania, most offers are packages. The difference is that every supplier puts something else in the package.

What are the 12 factors that set the price?

For each factor there is also the question worth asking your supplier.

1. Area (m²)

The biggest factor. The screen is built from 0.5×0.5 m cabinets, so a 6×3.5 m screen means 84 cabinets.

Ask: How many cabinets and on what grid?


2. Pixel pitch

P2.9 has about 112,900 pixels per m², P3.9 about 65,500. More pixels means a more expensive panel.

Ask: How far back is the front row?A rented LED screen is a complete system: panels, video processor, cables, structure, power, and the people who install it, operate it and de-rig it at the end. The price per m² usually covers the panels only.


3. Indoor or outdoor

Outdoors you need high brightness, IP65 protection and a structure rated for wind.

Ask: Is the event during the day, in the sun?


4. Shape

Straight, curved, cylinder, 90° corner, triangles. Each shape takes installation time and content built for it.

Ask: Does the shape serve the concept?


5. Number of days

It includes installation and rehearsal days, on top of the event day.

Ask: Is it installed the day before?


6. Structure

On the floor (ground stack) or flown on motors, from certified rigging points.

Ask: What load do the venue's rigging points take?


7. Video processing and sources

Processor, switcher, media server, play-out laptops.

Ask: Who is running the content?


8. Crew

LED technicians plus a video operator, for the whole duration.

Ask: Do the technicians stay until the end?


9. Transport and distance

Trucks, accommodation and per diem outside Bucharest.

Ask: What is the exact access address?


10. Power

If the venue does not have enough power, a generator goes into the offer.

Ask: How many kW and what sockets does the venue have?


11. Schedule

Night installation, a short access window, weekend work.

Ask: When can we get into the venue?


12. Backup

Spare panels and a backup processor.

Ask: What happens if a cabinet fails?


How much does pixel pitch move the price?

A P2.9 panel has 1.72 times more pixels than a P3.9 over the same area. Each pixel is a group of LEDs, so the finer panel costs more both to buy and to rent.

You pay for P2.9 when the front row sits closer than 4 m, when you film or stream live, or when the slides carry a lot of text. For a conference room where the front row sits 4 m back or further, P3.9 looks good.


What happens to the price on a multi-day event?

Transport, installation and de-rig are paid once. Day 2 and day 3 usually cost less than the first.

On the US market the standard formula is the full rate on the first day and a fraction of it on consecutive days. In Europe, weekly rates are also used. In Romania every supplier builds its own grid, so ask directly: "How much does the second day cost if the screen stays up?"


One thing many people forget: the installation day ties up the equipment and the crew. Check whether the offer lists it separately.

What costs show up when the offer does not list them?

The most common surprises come from the missing lines:

  • Flown structure. Motors, riggers and load calculation on the venue's rigging points.

  • Power. One m² of LED draws about 190–270 W on average and peaks at 560–800 W, depending on the panel. A 21 m² screen can hit 12–17 kW at peak.

  • Adapted content. The screen has its own resolution, for example 1,536×896 pixels for 6×3.5 m in P3.9. Videos made in another format have to be remade or scaled.

  • Rehearsals. Test time with the speakers and the video crew.

  • Overtime. What happens if the event runs 2 hours long.

  • Insurance. Who pays if a guest knocks into a panel.


An offer without m², without pitch and without the processor model cannot be compared with anything.


How do you get an accurate offer the first time?

Send 7 pieces of information. With them, the supplier stops guessing and stops adding a safety margin.

  1. The date, the load-in times and the time the venue has to be cleared.

  2. The venue, with a floor plan or at least ceiling height and stage width.

  3. The number of guests and the distance to the back row.

  4. The type of content: slides, video, live camera, online stream.

  5. Indoor or outdoor, and the time of day.

  6. The shape you want, if you have a moodboard or a sketch.

  7. What else is in the project: sound, lighting, streaming, interpreting.


If you don't know the size, send the distance to the back row and the type of content.

The technical producer calculates the size.


What do you get in a Mobile Event offer?

Frequently asked questions

Can I rent just the LED panels, without a crew?

At Mobile Event, no. The screen is delivered installed, calibrated and operated by our own crew, because what the audience sees depends on it. On the international market there is also dry hire, with installation handled by the client.


Is the installation day charged too?

Usually, yes. On installation day the equipment is tied up and the crew is working. Ask how it is listed in the offer: separately, or included in the first day.


Why do offers for the same screen differ so much?

Because they include different things: structure, operator, backup, transport, power. Compare only offers with the same m², the same pitch and the same services on separate lines.


How far in advance should I book an LED screen?

Minimum 2 weeks for a standard event, 4 weeks for launches with a synchronised reveal and 8 weeks for large projects or festivals. In autumn, conference and gala season, book earlier.


Does the price of an LED screen include VAT?

B2B offers are usually quoted without VAT. Check the note on the offer before comparing it with another.
